Athletics and Activities Coordinator 

 

QUALIFICATIONS:       

Equivalent to graduation from a four-year college or university with major coursework in management, sports management, business administration, education, theater, physical education, activities administration or recreation services or a related field.  Must possess and maintain a valid Iowa Driver’s license. 

 

REPORTS TO:             

Director of Athletics and Activities  

 

JOB GOAL:             

The job of the Associate Activities Coordinator is to serve as the primary point of contact for all activities within the Urbandale Community School District in Grades 7-12 and is done for the purposes of planning, implementing, coordinating, and evaluating the district’s activity programs.

 

Description of Working Conditions:

Work is performed both indoors and outdoors, and typically involves contact with the students, staff, and the general public; schedules may be irregular involving night and/or weekend meetings and programs; work may also involve exposure to chemicals and heat/cold.

 

Duties and Responsibilities:

  1. Assists in developing and upholding athletic vision, mission statement, and program philosophy while cultivating relationships within Urbandale.
  2. Supervises the Stadium / PAC Manager and provides input into their evaluation.
  3. Responsible for student data management to include athletic physical information as well as other requirements according to district and state guidelines.
  4. Assists in the management of game day/event operations.
  5. Responsible for portions of sports information program to include the maintenance of j-hawks.comwww.cimlsports.org and Bound
  6. Assists with the development and administration of all financial aspects of the department to include budgeting, accounting, and procurement.
  7. Serves as the primary contact for officials related to recruitment, payment and required paperwork.
  8. Maintains and tracks athletic records – individual and team.
  9. Manages financial aspects of events to include ticket inventory and deposit in accordance with District and Department procedures (vancoevents).
  10. Collection of data & creation/printing of yearly review.
  11. Annual software registration and management (hudl, hytek).
  12. Direct contact for all district/conference passes and printing Assure ID Software). 
  13. Coordinates and is responsible for securing/archiving team rosters in a timely manner.
  14. Annual additional facility reservations (kybos,  storage pods).
  15. Assists in the development and management of all live streamed events.
  16. Assists in the development and maintenance of game day graphics/social media. 
  17. Performs other duties as assigned by the Director of Athletics and Activities.
  18. May assume supervisory responsibilities in the absence of other District personnel.

Knowledge of staffing and programming in a school / community setting

Knowledge of computer systems and other technical elements used to enhance programming in a recreational program in a school / community setting

Ability to safely use maintenance tools and equipment

Ability to utilize spreadsheet, database and word processing programs and selected job-related software to include websites

Ability to set goals, develop budgets, strategies and schedules and execute them to meet these goals with a minimum of direction

Physical Requirements:

Job requires incumbent to talk/hear, stand, sit, use hands to finger, handle or feel, climb/balance, reach with hands and arms, and routinely lift up to 25 pounds and occasionally up to 50 pounds.

 

Terms of Employment:

12 month Letter of Assignment as determined by the Board of Education.
